Postal received with daily mail.

  • Postals removed from envelope
  • The envelope is discarded to the shred bin
  • Staples removed
  • Page 2, if included as a separate page, is discarded to shred bin
  • Postals containing control number 512636 are not uploaded to case; they are scanned to [email protected]

Postals are scanned using Capture Perfect.

  • Stack postals together, making sure that pages are as unfolded as possible
  • Place postals on feeder bed of cannon scanner
  • Launch Capture Perfect
  • Locate Postals scanning profile from the drop-down menu
  • Press the scanning button located to the left of the scanning profile drop-down menu
  • Wait for scanning to be complete, then close Capture Perfect

Sweep Directory in Onbase Client.

  • Open the Onbase Client and click on “Scan Queues”
  • In the main window you will see a list of Scan Queues; locate DCSS Advanced Capture and double-click the option
  • The main window will change, and it should appear blank if no other sweeps have been made prior to the current one. Right-click anywhere in the blank area of the main window and select “Sweep Directory”
  • A dialog box will appear; select “Folder” and make sure that “Delete Files After Sweep” is selected and click OK
  • Once the sweep is complete, a batch will appear. OnBase will process and send postals to workflow

Documents are retained for 30 days.

  • Postals are bundled, labeled with the date scanned, and retained in the CMI repository
  • Postals are purged after 30 days
